Event Attendance Cancelation

Requests for cancelation (and refund, if applicable) must be submitted via email to records@banishedlarp.org.

The date and time stamp of the email will determine the amount eligible for refund, if any. 

Phone calls to the staff are nice, and we appreciate a heads up, but an email gives us a definitive date and time and makes it much harder for us to forget to process the request in the chaos leading up to or just after an event.

Refund Policy

In order to keep event costs as low as possible, Banished has established an official refund policy. 

Due to the fact that Tavern Fees are not kept but passed along to Tavern Staff in their entirety,  Event Fees and Tavern Fees are addressed separately by this Policy.

Event Fees

We do not carry over paid event fees to a future event.  Even thinking about this extra “remembering” and having to keep track of it gives our records person a massive headache, so we just won’t do it.

Cancelation of an event by Staff will trigger an automatic refund for event fees to be issued at our earliest convenience. 

Refunds due to player cancelation, for those that cancel before the week of the event, will generally happen more quickly (refunds typically processed within a day or two) than for those who cancel within the week of the event start date (refunds may take up to a week after the event ends).  

Where reasonable, we reserve the right to keep a portion of the fees to cover costs related to a specific player for an event, if that player cancels.  These situations should be very rare and would involve covering the costs of materials related to that specific player only.  For example, if we had rented equipment or costuming specific to plot for that player and the rental cannot be rescheduled for a later event or that requires a rescheduling fee, we could retain the funds to necessary cover that specific cost.

If you cancel during the “Green Period” you can expect a full refund, barring special circumstances related to plot for you as described above.  The time required to process this request will vary based on how close the event is at the time you notify us of your cancelation.

During the ‘Yellow Period’, we will be as accommodating as we can for emergencies and illness, but as always, we reserve the right to keep up to half of the payment to cover our costs.

If you cancel during a “Red Period” you can opt out of a refund and receive the CP as if you attended instead.  You are not eligible for PEFF CP if you take this option.

Tavern Fees

Significant last minute cancelations being refunded would make it impossible to support Tavern Services for the community.  It is our hope this policy will help mitigate that risk for those still able to attend and allow us to sustainably arrange for plentiful and tasty food at an affordable price.

For those canceling well in advance of the event, the “Green Period”, we will make every effort to refund tavern fees along with the event fees.

However, if the Tavern Staff has already done the planning and shopping at the time of cancelation, Tavern Fees may be non-refundable or partially refundable, at the discretion of the then current Tavern Staff.   This will largely depend on how much shopping they have already done when we are notified.

This serves to permit cancelation when necessary due to illness or emergency while still buffering against losses for our gracious Tavern Staff. 

Please do not attend an event if you are ill. 

Some of our players or their loved ones are immuno-compromised. 

We will absolutely work with you to get your maximum possible refund, if you promise not to bring us your cooties.

Let us know as soon as you realize you are unwell and we’ll do everything we can to work out a fair refund.

Banished is not responsible for misdirected or failed emails.  If you can forward a copy of the sent mail, at our discretion, we can adjust the received time, and therefore the refundable amount, if appropriate.

Terms and Conditions for Cancelations

Player Cancelations. 

Up to 8PM Sunday before the event:

For a Full Event  and Tavern Fees, refund requests must be receive PRIOR to Sunday at 8PM. 

After this point, Tavern Fees are non-refundable. Event Fees are still 100% refundable until Wednesday.

Up to 8PM Wednesday before the event:

Tavern fees are not refundable after 8PM on Sunday.  Requests for full Event Fee refunds must be received prior to 8PM Wednesday.   

After this point, Event Fees are 50% refundable.  We will work with you on special circumstances as needed.

Friday prior to check in:

Event fees are 50% refundable until event check-in, if requested via email.  After checking in for the event, no refunds will be issued.

Post lay-on requests:

Players who do not check in may request a partial refund within a reasonable amount of time relative to the event. Reasonable time and refund amount will be up to the sole discretion of the Banished staff, relative to the circumstances of the cancelation.

Exceptions:

Banished reserves the right to suspend or modify this policy as needed to accommodate special situations in a way that is as equitable as possible to all parties.

Cancelation by Banished:

Barring special circumstances, Banished will issue full refunds for events canceled based on our decisions, forces of nature, etc.  Refunds of Tavern Fees will be subject to the discretion of the then current Tavern Staff.
